Job Summary:

As we continue to scale one of the fastest growing apparel brands, we are seeking a highly organized Legal Assistant with strong paralegal or legal operations background. This role will support both the needs of our President and have oversight for compliance & legal related activities. The ideal candidate will have strong organization and communication skills, comfortable working with contracts, and superior attention to detail. We are looking for someone who thrives in a fast-paced work environment. Excellent interpersonal and facilitation skills, strong sense of confidentiality and the ability to multi-task are must-haves. The information associated w/ this role is highly confidential and requires impeccable integrity and confidentiality.

Key Responsibilities:

Administration to the President:

May perform the following:

  • Act as personal assistant the President overseeing professional tasks to support the seamless and efficient management of the office of the President
  • Research and explore a variety of topics and tasks on behalf of the President and provide informational briefs when asked.
  • Oversee financial receipts, and make travel arrangements as needed
  • Other duties as assigned.

Administration to the Sr. Leadership team

  • Schedule, Facilitate, and attend Senior Leadership meetings and events and capture meeting minutes, details and other information generated from the activity
  • Assist the President in SLT meeting preparation, design and agenda follow through
  • SLT Tactics- Track Key initiatives and assist President to ensure follow-through
  • Other duties assigned by President to support SLT.

Legal and Compliance oversight:

  • Coordinate all legal processes to support the company’s legal needs and standards.
  • Draft, review, and organize legal documents including contracts, NDAs, Trademarks, MSAs and agreements.
  • Own and manage the organization’s legal budget.
  • Document and review internal policies and procedures for legal compliance include privacy, terms and conditions and promotions
  • Maintain and develop the systems necessary to ensure timely compilation of materials for contract renewals, updates, registrations, and certifications.
  • Conduct compliance research for new product names or other patent/copyright ideas
  • Manage brand protection program
  • Enforce MAP Policy and address violations per the established process
  • Partner with external legal team as needed to support the activities of the business by Collecting and coordinating information and prepare appropriate documentation as needed for litigation support.
  • Work with internal business partners and outside legal counsel to capture and catalog risk as the company enters into new relationships and agreements.
  • Lead the bi-weekly legal check-in meetings with outside council, capture meeting minutes, and other information generated from the activity.
  • Work with appropriate internal and external resources to establish the process necessary for all state filing requirements as it relates to the Company doing business in the various state and municipalities.
  • Develop and support systems work necessary for certificate of insurance tracking on executed agreements.
  • Develop and maintain corporate records and Board information as dictated by company need.
  • Complete Audit & Bank requests as assigned and needed.

BOD Support

  • Craft and oversee communications to the Board of Directors (BoD) under the instruction of the President
  • Manage the scheduling of Board meetings, travel itineraries and other arrangements as instructed by the President
  • Capture Board minutes and other information generated by the BoD.
  • Coordinate BoD endorsements with Legal, BoD members, and auditors.

Qualifications:

  • Bachelor’s Degree or equivalent in business, paralegal studies, law or similar experience.
  • Paralegal certification or paralegal experience.
  • 5+ years of experience providing support to executives, legal teams, or compliance departments.
  • Experience supporting a general counsel or legal department
  • Expertise in Ecommerce websites: ADA compliance, business website requirements and laws/regulations.
  • Knowledge of regulatory frameworks and corporate governance processes
  • Experience managing & reviewing contracts or compliance documentation

  • Personal computer knowledge; fluency in Microsoft applications including Word, Excel, PowerPoint, and Outlook. Ability to learn other computer systems and software as needed
  • Maintain a consistent, professional manner and attitude
  • Able to contribute positively as part of a team, helping with various tasks as required
  • Act with a sense of urgency and demonstrate self-motivation and ability to work independently.
  • Ability to work well under pressure in a fast-paced environment
  • Ability to prioritize and meet deadlines within specified time constraints.

Working Conditions:

  • Administrative Office environment within a manufacturing environment with exposure to noise and other conditions for limited periods of time depending on the role.

  • Occasional travel to the organization’s sites or other business entities– must have reliable transportation
