Role Summary
The Retirement RFP Writer plays a strategic role in fueling the growth of National Life Group’s Retirement Business. By producing high-quality, compliant, and compelling proposals, this position directly contributes to new plan acquisition, client retention, and the company's competitive positioning in the 403(b), 457(b), and institutional retirement markets.
As part of the Retirement Solutions Team, this position would be responsible for responding to requests for Request for Proposal ("RFP") responses, Request for Information ("RFI"), and due diligence questionnaires while maintaining a company information database for use in responding to RFPs, sourcing requests, project management associated with the proposal process, and ensuring that all proposals meet the company’s high standards of quality.
The Proposal Writer will become an informed Subject Matter Expert (SME) in National Life Group’s firmwide information and marketing materials as well and the autonomous SME on NLG’s full line of product offerings and retirement platforms. The RFP writer will contribute to the Company’s Retirement Business initiatives through the creative writing and preparation of information request responses and the preparation of proposals while serving on the Retirement Solutions Team.

This role is a frontline subject matter expert, creator, writer, and enabler of NLG’s growth in the highly competitive institutional retirement space. Proposals authored directly initiate sales of millions in assets under management via new plan acquisition, plan retention, and field enablement. Effective RFP creation, management and delivery enhances the credibility of the organization and builds trust with our public-sector employers.
WORKING RELATIONSHIPS:
- He/she will work directly with the Head of Retirement Solutions, Relationship Managers, Retirement Consultants, VP of Retirement Business, Legal, and Distribution Leaders to respond to requests with defined goals to acquire and retain retirement business at the institutional level
- Source and write request for proposals (RFPs), Standard Proposals, Ad hoc requests for plan maintenance and business development opportunities
- Work with all internal subject matter experts (SMEs) to prepare answers, consolidate, proof, print and ship
- Update RFP database with all latest answers
- Navigate and update AI tool with latest responses to assist with enhancing future answers
- Provide reporting on RFPs with weekly progress reports and monthly updates
- Source key resources like BidPrime and other industry database to find relevant RFPs and pre-qualify National Life Group responses
- Support Retirement Services with all other marketing content, materials, and efforts
- Maintain current and accurate proposal answer and standard proposal templates by offering
Proposal Development & Project Management
- Lead end-to-end execution of RFPs, RFIs, and due diligence questionnaires for the Retirement Business.
- Review RFP requirements and develop proposal strategies in collaboration with Relationship Managers, Consultants, Product, Legal, and Compliance.
- Write and edit technical and marketing content that clearly communicates NLG's value proposition.
- Manage timelines, schedules, style guides, internal approvals, and submission logistics.
- Stakeholder Collaboration & Content Strategy
- Partner with subject matter experts (SMEs) to ensure answers are current, accurate, and compliant.
- Refine proposal content to reflect evolving product offerings, service models, and regulatory standards.
- Lead kickoff meetings and post-mortem sessions to gather insights and drive improvements.
Strategic Outcomes
- Improve NLG’s win rate and competitiveness through high-quality, on-time RFP submissions.
- Maintain 100% SLA compliance on proposal delivery deadlines.
- Partner with Field and RM teams to ensure accurate plan implementation and onboarding readiness.
- Establish scalable, searchable content systems (Loopio, AI tools, SharePoint) to reduce response time.
Essential Duties and Responsibilities
Proposal Development & Project Management
- Manage end-to-end RFP, RFI, and due diligence questionnaire responses to ensure timely, accurate, and compliant submissions.
- Receive and review initial bid requests, noting key technical, financial, and scheduling requirements and risks.
- Coordinate internal kick-off meetings, proposal planning, and review sessions with Retirement Consultants, Relationship Managers, Legal, Compliance, and Product.
- Prepare proposal strategies and manage associated documentation (e.g., outlines, schedules, style guides).
- Lead proposal strategy meetings and independently develop proposal summaries aligned to client objectives.
- Track all deliverables and maintain accountability for on-time proposal submission across all channels.
Stakeholder Collaboration & Content Strategy
- Work closely with internal subject matter experts (SMEs) and Distribution stakeholders to build accurate, relevant proposal content.
- Participate in collaborative sessions to refine win strategies, customer pain points, and competitor differentiators.
- Ensure proposals clearly define the Scope of Work and Services, identifying necessary clarifications or exceptions to customer inquiries.
- Maintain consistent communication with internal teams and external vendors to ensure a unified, strategic response.
Content Management & Tools
- Manage and maintain the RFP content database, ensuring it reflects current, accurate product and service capabilities.
- Organize past and current proposals in a centralized repository for ease of reuse and reference.
- Use and update AI-supported content tools to enhance proposal quality and streamline future response generation.
- Continue building knowledge of company offerings, tools, and retirement products to ensure alignment with business priorities.
Research, Sourcing & Business Development Support
- Proactively source new RFP opportunities via websites, databases (e.g., BidPrime), and procurement platforms.
- Pre-qualify RFPs to assess alignment with National Life Group's Retirement Business capabilities and strategic objectives.
- Support standard proposal and marketing material development for new business pursuits or plan maintenance opportunities.
- Identify trends in proposal submissions and provide insights for process improvement and strategic alignment.
Tracking, Reporting & Continuous Improvement
- Report weekly progress updates and deliver monthly summaries for all in-flight and completed RFP submissions.
- Ensure all proposal-related materials and responses are properly logged, archived, and accessible for future use.
- Conduct post-submission reviews and “lessons learned” sessions to identify content gaps or process bottlenecks.
- Implement refinements that improve quality, efficiency, and NLG’s overall win rate in institutional plan acquisition.
Key Success Factors
- Maintains quality results by using templates; following proposal-writing standards including readability, consistency and tone.
- Maintain knowledge of approved company vendors, pricing, products and services.
- Maintain efficient project execution procedures to ensure 100% on-time delivery with a less than 4% error ratio.
- Obtain feedback from projects for “lessons learned” to incorporate in future proposals.
Minimum Qualifications
Education and Experience
- B.A. Marketing, Communication, Journalism, Writing or equivalent work experience.
- Five years of investment or annuity industry experience with a minimum of three years in RFP or investment marketing project engineering/ project management or process engineering.
- Organizational skills and time management.
- Effective communications skills both written and verbal for interface with Client partners, and co-worker SMEs.
- Familiarity with Proposal Software and investment products in the retirement space.

- This position currently requires an onsite work schedule at the Addison, TX or Montpelier, VT Headquarters, with the expectation that you are in the office for all required workdays.
